About Role:

Greet and welcome visitors as soon as they enter the office. Determine the nature and purpose of visitors before directing or escorting them to the appropriate person and office. Answer, screen, and forward calls, provide information, and take messages on a multi-line phone system. Ensure that the reception area is neat and presentable, and that all necessary stationery and materials are available (e.g. pens, forms and brochures). Provide basic and accurate information about a business setup and business centre industries in person and over the phone/email.

Responsibilities:

  • Order front-office supplies and keep stock on hand.
  • Calendars should be updated and meetings should be scheduled.
  • Book meeting rooms in a business centre, and after each meeting, make sure the rooms are clean and have updated stationery.
  • Provide administrative assistance to management.

Requirements:

  • Work experience as a Receptionist, Front Office Representative, or a similar role is required.
  • Excellent written and oral communication skills.
  • Microsoft Office and internet navigation are basic computer skills.
  • Excellent and courteous follow-up, as well as empathy for clients and employees.
  • Working knowledge of office equipment (e.g. printers).
