About Role:

Manage all document control activities pertaining to financial transactions in the Retail industry. Develop and propose effective and efficient strategies, analysis, and control procedures that contribute to the vision, strategies, and business objectives of the Department. Create a system for effectively storing documents, either physically or electronically, in accordance with international accounting standards, laws, regulations, internal policies and procedures, and monitor adherence of the relevant stakeholders.

Responsibilities:

In charge of putting in place a system that ensures documents are saved and protected from theft or destruction.
Establish retrieval controls and mechanisms, monitor process adherence and efficiency, and handle special retrieval requests quickly and efficiently to ensure that necessary documents and data are available when needed.
Before processing the transaction, review submitted documents to ensure that they meet the set requirements (e.g., approval signatures, matching data, and completeness of documentation).
Ensure that data and documents that have outlived their retention period are properly and securely disposed of.
Create reports to measure the efficiency of the document control process, keep them up to date, and analyse them to identify areas for improvement.
Assist with other tasks or projects.

Requirements:

A minimum of three years’ experience in the nvocc shipping industry is required.
Understanding of port, harbour, customs, and immigration activities and procedures, as well as the necessary legal requirements
Understanding of terminal operating systems, shipping operations, vessel services, and port rotations is required.
