About Role:
Contributes to the overall success of the company by performing secretarial duties and providing administrative support to the team. Completes hotel, restaurant, and transportation reservations for missions, seminars, temporary movements, and other events. Assists in the planning and execution of internal department meetings. As assigned, acts as an interim assistant in the absence of other affiliate assistants. Maintain overall control of the MD/VP workflow, calendar, and daily meeting schedule.
Responsibilities:
- Coordination of travel requirements in connection with MD/VP and team arrangements.
- Issue Expense Claims for MD/VP and manage Team Expenses (verification & follow up for payment).
- Prepare correspondence and PowerPoint presentations on the MD/behalf. VP’s
- Ensure that the MD/VP is fully briefed or prepared for any engagements in which they are involved. Keep an accurate record of all papers and electronic correspondence on behalf of the MDs, as well as good management of all arrangements (Taxi / Driver / Meeting rooms, etc.).
Requirements:
- Assist finance and the MD/VP with the PR/PO process and expense validation.
- In order to keep costs under control, monitor invoices and keep a tracker.
- Assist office management as a point of contact (procurement, office supplies, maintenance, facilities and others).
- Manage vendor, service provider, and landlord relationships.
- As needed, manage contract and price negotiations with office vendors, service providers, and the office lease; ensure that all items are invoiced and paid on time. In SAP, manage the creation of vendor codes.
