Responsibilities:
Here are the main responsibilities:
- Answer and manage incoming phone calls, emails, and client inquiries, ensuring timely and professional responses.
- Schedule and coordinate the meetings, appointments, and travel arrangements for team member.
- Organize and maintain both electronic and physical filing systems to ensure easy access to documents and records.
- Assist in preparing, editing, and proofreading documents, reports, presentations, and the other materials.
- Oversee office inventory, ordering supplies as needed to maintain adequate stock levels.
- Assist with the preparation of client billing and ensure that all financial records are accurate and up-to-date.
- Manage and maintain the company calendar, ensuring deadlines are met and tasks are followed up on promptly.
- Perform routine office tasks such as photocopying, scanning, faxing, and other administrative duties as required.
- Create and maintain a professional, welcoming environment for clients and visitors.

Requirements:
Here are the qualifications and skills required:
- Previous experience in an administrative role or similar position is essential/required.
- Exceptional organizational and time-management abilities and skills with a focus on efficiency.
- Strong written and verbal communication skills.
- Proficiency in the Microsoft Office Suite (Word, Excel, PowerPoint and Outlook).
- Ability to work independently and collaborate easily as part of a team.
