Responsibilities:

Here are the main responsibilities:

  1. Providing general administrative support, such as answering phones, greeting visitors, and handling inquiries.
  2. Assisting in scheduling appointments, meetings, and travel arrangements for staff.
  3. Accurately inputting and updating data into the computer systems and databases.
  4. Verifying data for completeness, correctness, and adherence to established procedures.
  5. Preparing and maintaining physical and electronic files and records.
  6. Organizing and archiving documents according to company policies.
  7. Corresponding with clients, suppliers, and internal stakeholders via email, phone, and in person.
  8. Assisting in the drafting and proofreading correspondence, reports, and presentations.
  9. Monitoring and replenishing office supplies and coordinating maintenance of office equipment.
  10. Assisting in coordinating office events, meetings, and conferences as needed.
  11. Compiling and generating reports, summaries, and statistical data as required.
  12. Assisting in analyzing data and identifying trends or discrepancies.

Requirements:

Here are the qualifications and skills required:

  • High school diploma or equivalent; additional education or training in office administration or data entry is preferable.
  • Proven exp. in the office assistant or data entry role is advantageous.
  • Knowledge and Proficiency in MS Office (Word, Excel, Outlook) and data entry software.
  • Excellent organizational and time management skills.
  • Strong attention to detail and accuracy in the data entry and document preparation.
  • Capability and ability to prioritize tasks and work effectively in a fast-paced environment.
  • Strong verbal and written communication skills.
